This policy explains how Reeve Facilities Management Ltd ("Reeve", "we", "us") collects and uses personal data through the Reeve Operative mobile app, which service partner engineers use to receive and complete facility management jobs. It covers the app specifically; data you provide to your employer or to Reeve through other channels is governed by the agreements in place with them.

Information we collect

Account & profile. Your name, email address, and an optional profile photo. We use your email to send you a one-time sign-in code (the app has no password).

Location. When you check in to or out of a job, the app records your device location at that moment to verify attendance at the correct site. We access location only around check-in/out. The app does not track your location continuously or in the background.

Camera & photo library. When a job or form asks for a photo (e.g. proof of work, a signature, or site evidence), the app accesses your camera and/or photo library so you can capture or attach images. We only use the images you choose to submit.

Push notifications. With your permission, we register a device push token so we can notify you about new job assignments, schedule changes, and messages. You can disable notifications in your device settings at any time.

Job & usage data. The work you record in the app: check-in/out times, completed tasks, form answers, comments, and basic technical data (device model, OS version, app version, crash diagnostics) needed to operate and support the service.

How we use your data

To authenticate you, assign and schedule jobs, record and verify work carried out, communicate with you about jobs, provide support, keep the service secure, and meet legal and contractual obligations to the service partners and customers we work with.

Legal basis

Under UK GDPR we rely on: performance of a contract (to deliver jobs you are assigned), our legitimate interests (operating, securing, and improving the service), legal obligation (record retention), and your consent (camera, photo library, location, and notification permissions, which you grant at the device level and can withdraw).

Who we share it with

We share data with the service partner that employs or engages you and the customer whose site a job is for, as needed to deliver and evidence the work. We use trusted processors to run the service: cloud hosting and database infrastructure, push notification delivery (Apple and Google notification services), and file/object storage, who act on our instructions under data protection terms. We do not sell your personal data.

Retention

We keep personal data for as long as your account is active and as needed to deliver the service. Records tied to completed jobs, work orders, and audit logs are retained where required for legal, regulatory, tax, or contractual reasons (typically up to 7 years), with personal identifiers removed or pseudonymised where possible.

Security

Data is encrypted in transit. Access is restricted to those who need it to operate the service, and authentication is passwordless via one-time codes sent to your email.

Your rights

Subject to UK GDPR, you can request access to, correction of, or deletion of your personal data, object to or restrict certain processing, and request portability. To exercise these rights, contact help@reeve.fm.

Deleting your account

You can request deletion of your account and associated personal data at any time. See Delete your Reeve account for how this works and what is removed or retained.

Children

The Reeve Operative app is for working professionals and is not directed at, or intended for use by, anyone under 18.

Changes

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
